1. Scope of Services
The Office Travel acts as an agent and intermediary between clients and airlines, hotels, visa authorities, forex providers, and ground transport suppliers. We facilitate the procurement and management of travel services; we are not the principal provider of those services.
2. Visa Services
Visa approvals and appointment availability are decided solely by the relevant embassy, consulate, or immigration authority. The Office Travel facilitates the application process — including docket preparation, appointment scheduling and document submission — but makes no guarantee of visa approval or of any specific timeline for a decision.
3. Flight Services
Airfares and seat availability are subject to airline rules and may change. Cancellation and change charges are governed by the applicable airline’s fare rules and are passed through to the client as incurred. The Office Travel will endeavour to secure the most flexible fares available.
4. Hotels & Accommodation
Hotel rates, availability and room categories are subject to final confirmation by the property. Rates quoted are indicative until a booking confirmation is issued by the hotel.
5. Forex
Foreign exchange rates are determined at the time of the transaction and are subject to availability. Rates quoted in advance are indicative only.
6. GST Compliance
The Office Travel provides GST-compliant invoices on flights and hotels where applicable. The eligibility of any invoice for input tax credit is subject to applicable Indian tax law and the client’s own tax position. Clients should obtain independent tax advice where required.
7. Limitation of Liability
The Office Travel’s liability in respect of any specific service is limited to the fees paid to The Office Travel for that service. The Office Travel is not liable for losses arising from supplier failures, force majeure events, immigration or visa decisions by government authorities, or changes in government policy.
8. Payment
Payment terms are as agreed in the written proposal or engagement letter. Credit terms of up to 30 days may be offered where agreed in writing.
9. Governing Law
These terms are governed by the laws of India. The courts at Gurgaon shall have exclusive jurisdiction over any disputes arising under or in connection with these terms.
